We are seeking a proactive, highly organized Executive Assistant to provide direct support to our Director of Sales, Marketing, and Fleet in the Bulk Lubricants division. Requirements:Key Responsibilities:
- Manage the director's calendar, including scheduling meetings, appointments, travel arrangements, and coordinating with internal teams and external partners.
- Prepare professional correspondence, reports, presentations, and marketing materials using Microsoft Office tools.
- Serve as the primary point of contact for communications on behalf of the director, handling inquiries with discretion and professionalism.
- Assist with sales tracking, marketing campaign coordination, fleet management logistics, and related administrative tasks.
- Organize and maintain files, data, and records (including CRM entries, spreadsheets, and performance metrics).
- Support event planning, team meetings, and other initiatives to drive sales and marketing goals.
- Handle confidential information with integrity and perform other administrative duties as needed to enhance efficiency.
Qualifications & Skills:
- Proven experience as an Executive Assistant, Administrative Assistant, or in a similar support role for senior leadership (ideally in sales, marketing, or operations).
- Strong computer skills with advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and comfort learning CRM or industry-specific software.
- Excellent organizational, time-management, and multitasking abilities in a fast-paced environment.
- Outstanding written and verbal communication skills with a professional demeanor.
- Uplifting, positive attitude and team-player mindset—someone who brings energy and optimism to the workplace.
- Discretion, reliability, and attention to detail.
- Experience in distribution, lubricants, sales, marketing, or fleet operations is a plus but not required.
- Clean driving record.
