The Harrisburg Regional Chamber & CREDC is seeking a highly organized and proactive Executive Assistant & Board Liaison to join our team. This in-person Executive Assistant & Board Liaison position provides high‑level administrative support to the President & CEO and serves as the administrative secretary to the Boards of the Chamber and CREDC. You’ll manage calendars, communications, agendas, meeting logistics, and formal correspondence; coordinate with executive‑level business leaders, community leaders, elected officials and their staff; and help ensure the smooth day‑to‑day operations of the executive office. This role reports to the President & CEO.
Key Responsibilities
- Attend meetings for the Chamber Board of Directors and Executive Committee and the CREDC Board of Directors and Executive Committee; take and transcribe meeting summaries. The use of AI and technology is highly encouraged.
- Manage our quarterly board meeting schedule. This includes drafting an agenda, securing locations, sending notices, and ensuring a timely and efficient process.
- Maintain accurate lists of board members, capital campaign donors, and other critical databases used by the organization and the President.
- Assist with board member onboarding/offboarding (orientation packets, bios, bios on website).
- Maintain board policy manuals and bylaws, track compliance with governance requirements.
- Schedule and coordinate meetings on behalf of the President with business government leaders, and other stakeholders.
- Greet and assist staff and members/investors requesting information; provide a professional, welcoming experience that strengthens the organization’s image.
- Maintain, plan and schedule the executive office’s schedule; ensure calendar integrity and proactive preparation for meetings and events.
- Compile data and prepare confidential reports and meeting minutes; track and assist follow‑up on action items.
- Maintain accurate, current filing systems (physical and digital) for the executive office.
- Support Chamber & CREDC events (e.g., registration desk or other assignments) as part of a collaborative team culture.
- Complete other duties and special projects assigned to contribute to the overall success of the organization.
- 1–5 years of relevant administrative experience (including internships or professional roles)
- Exceptional organizational and time management skills
- Strong attention to detail and accuracy
- Excellent written and verbal communication skills
- Experience supporting C-level executives or board governance
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, Teams)
- Comfortable coordinating with senior leaders, board members, and elected officials
- Proven ability to manage multiple priorities and deadlines effectively
- Working knowledge of nonprofit or membership-based organizations
- Prior experience managing calendars, agendas, and formal correspondence for executives
- Familiarity with board management software or CRM platforms
- Experience with meeting planning, logistics, and minute-taking
- Ability to leverage technology, including AI tools, to improve administrative efficiency
- Familiarity with basic website content updates (e.g., adding bios)

$45,000/yr. to $54,000/yr., commensurate with experience
