Position Summary
PBACO is seeking a reliable, detail-oriented Office Assistant to support daily administrative and operational functions. This role is ideal for an organized and proactive individual who thrives in a fast-paced, entrepreneurial healthcare environment. The Office Assistant will provide front office support, coordinate administrative workflows, and assist leadership and team members with day-to-day operational needs.
This is a hands-on role requiring professionalism, strong communication skills, and the ability to work independently while maintaining a high level of accuracy and responsiveness.
Key Responsibilities
Front Office & Administrative Support
- Greet visitors and serve as the first point of contact for the office
- Answer and direct incoming calls and emails professionally
- Manage calendars, schedule meetings, and coordinate conference room usage
- Maintain organized digital and physical filing systems
- Manage office supplies
Operational & Team Support
- Assist with data entry, reporting, and document preparation
- Coordinate meeting logistics as needed
- Assist with special projects and cross-functional initiatives
- Provide general administrative support to leadership and team members
Compliance & Confidentiality
- Maintain confidentiality of sensitive information
- Ensure documents and processes are handled in accordance with organizational standards
Qualifications
- High school diploma required; Associate’s or Bachelor’s degree preferred
- 1–3 years of administrative or office support experience preferred
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to multitask and prioritize effectively
- Comfortable working independently in a growth-oriented environment
