We are seeking a highly organized and proactive Medical Assistant to lead coordination and clinical support for our Firefighter Physicals Program. Additionally, this individual will serve as medical assistant to the Medical Director for Frontier McAllen clinics. This role blends hands-on clinical care with full-cycle program coordination, including scheduling, documentation, invoicing, and communication with fire departments.

Key Responsibilities
Firefighter Physicals Program Coordination
- Serve as primary liaison between the clinic and local fire departments.
- Coordinate annual, pre-employment, and return-to-duty firefighter physicals.
- Schedule all components of exams (labs, EKG, audiometry, spirometry, vision testing, imaging if needed).
- Track completion of required components to ensure compliance with NFPA standards.
- Prepare and assemble final clearance packets for department submission.
- Coordinate on-site physical events when applicable.
Clinical Responsibilities
- Prepare exam rooms and ensure necessary equipment is calibrated and ready.
- Obtain vitals, detailed medical histories, and occupational exposure histories.
- Perform testing within scope of certification, including:
- EKG
- Spirometry
- Audiometry
- Vision screening
- Phlebotomy
- Assist provider during comprehensive firefighter physicals.
- Maintain accurate and timely documentation in the EMR.
- Ensure compliance with HIPAA and occupational health standards.
- Serve as the Medical Assistant for the Medical Director
- Provide Medical Assistant support and coverage for other Medical Assistants
Scheduling & Workflow Management
- Manage provider schedules specific to firefighter physicals.
- Confirm appointments and distribute pre-visit instructions.
- Monitor no-shows, rescheduling, and follow-up needs.
- Coordinate referrals and additional testing when indicated.
Invoicing & Administrative Support
- Generate invoices for fire departments and municipalities.
- Track payments and coordinate with internal accounting processes.
- Maintain documentation of service agreements and pricing structures.
- Prepare periodic utilization and program summary reports.
Required:
- Minimum of 2 years of experience as a Medical Assistant
- Certified Medical Assistant (CMA, RMA, or equivalent)
- Bilingual Spanish/English
- Experience working in a clinic setting
- Experience providing care to all ages, including pediatrics
- Proficient at performing a variety of tasks including electrocardiograms (ECG/EKG), phlebotomy, IVs, and injections (SC and IM). A skills assessment is required as part of our recruitment process.
- Extensive experience working with a variety of Electronic Health Record (EHR/EMR) systems
- Active BLS or ability to obtain within the first 30 days of employment
- Adaptable and open to change in process and technology
- Excellent communication and organizational skills, as well as the ability to work effectively with healthcare providers
Preferred:
- Experience in occupational health or public safety physicals
- Familiarity with NFPA 1582 standards
- Experience with invoicing or medical billing
