Essential Job Duties and Responsibilities

The incumbent can perform the following essential duties with or without a reasonable accommodation(s):

  • Prepare government grants deliverables including, but limited to, grant billing, journalizing grant-related transactions, preparing compliance reports/deliverables, and reconciling grants to the general ledger.
  • Monitor budgets, track actual expenditures throughout the year, and coordinate with programmatic staff to ensure the maximum use of contract funds.
  • Work with development staff and programmatic staff to prepare budget-related materials and supporting documentation required for submission with government grant proposals, renewals, budget modifications, etc.
  • Maintain all financial records for all grants including executed signed agreement, submission documentation, and closing letters.
  • The candidate should become knowledgeable of applicable compliance requirements (e.g. allowable costs, prior approval requirements, etc.) and stay up to date with any relevant pronouncements.
  • Assist with any grant-specific government audits.
  • Print and upload monthly departmental Statement of Activities and general ledger to Workspace.   
  • Prepare the monthly bank reconciliations.
  • Serve as backup for Accounts Payable.
  • Execute other various accounting functions as needed.


  •  Qualifications:

    • 4-5 years of relevant prior bookkeeping experience.
    • Associate’s degree in accounting is preferred but not required.
    • Familiarity with Non-profit accounting desired 
    • Experience with MIP accounting system is preferred.


  •  Skills:

    • Strong problem-solving, organizational and analytical skills.
    • Detail oriented.
    • Effective written and verbal communication skills.
    • Must demonstrate ability to work as part of a team as well as independently.
    • Intermediate Excel skills: Pivot tables, v-lookup, document linking, filtering, data validation, text to Excel, sum if.    
    • Proficient in Microsoft Office Suite: Word, Outlook, etc. 
    • Ability to maintain absolute confidentiality regarding all employee information.
    • Ability to be productive and accurate with assigned accounting tasks.
