About the role
- The Flight Coordinator/Charter Sales will play a pivotal role in driving Aery Aviation's flight operations and charter sales. This position is responsible for the comprehensive management of charter requests, ensuring operational efficiency, and cultivating client relationships to maximize sales opportunities. The ideal candidate will be detail-oriented, proactive, and committed to delivering exceptional service while achieving sales targets.
What You Will Be Doing
- Main Job Tasks and Responsibilities:
1. Customer Interaction and Service Excellence
- Immediate Response: Ensure all inbound customer and passenger calls are answered within 5 minutes. Maintain a customer-centric approach in all interactions.
- Quoting and Follow-Up: Provide timely and accurate charter quotations, including aircraft capabilities and pricing. Follow up with clients to finalize bookings and confirm details.
- Exceptional Service: Deliver outstanding customer service through prompt communication and meticulous attention to detail, ensuring all client interactions reflect Aery Aviation’s commitment to excellence.
2. Flight Coordination and Operational Efficiency
- Legal Compliance: Ensure safe and legal coordination of scheduled flights, adhering to FAR 135 regulations and Aery Aviation's SOPs. Maintain detailed records of compliance for accountability.
- Pre-Flight Preparation: Confirm that all ground handling, deicing, fuel, landing/departure slots, and permits are in order prior to releasing a flight.
- Operational Setup: Perform operational setup for all flight logistics, ensuring that all crew member duty times comply with regulatory standards and Aery's safety protocols.
3. Charter Management and Vendor Relations
- Charter Requests Management: Handle incoming calls and web inquiries for wholesale and retail client requests, ensuring a seamless booking process.
- Vendor Engagement: Establish and maintain strong relationships with charter vendors. Negotiate pricing to optimize buying strategies while ensuring Aery’s safety standards are met before every trip.
- Performance Monitoring: Regularly audit and approve vendor invoices for payment, tracking performance metrics and compliance with contract terms.
4. Sales Strategy and Performance Metrics
- Sales Targets: Actively engage in quoting and booking new charter trips, aiming for the sale of $3.5M annually or an additional $290k monthly in revenue.
- Data-Driven Decisions: Utilize CRM systems (e.g., Dynamics 365 and FOS) to track client interactions, monitor sales progress, and identify trends that can inform sales strategies.
- KPI Accountability:
- Achieve a net operating margin of 48% or greater for all current contracts and charter operations, with a minimum threshold of 35%.
- Ensure any charter operation presenting a margin of less than 45% receives management approval before proceeding. Charters yielding a net operating profit lower than 35% will require explicit approval from the OCC Manager.
- Regularly report on sales performance metrics, including response times to inquiries, booking conversion rates, and customer satisfaction scores.
5. Client Relationship Management
- Client Engagement: Identify and maintain regular contact with prospective clients, ensuring they receive the highest level of service throughout their engagement with Aery Aviation.
- Feedback Loop: Solicit feedback from clients post-flight to identify areas for improvement and enhance service delivery.
6. Company Representation and Industry Involvement
- Networking and Community Engagement: Represent Aery Aviation at community and business meetings as well as industry trade shows and exhibits, promoting the company and its services as requested from time to time.
- Market Awareness: Establish and maintain thorough knowledge of industry trends and competitor offerings to identify opportunities for Aery Aviation to differentiate itself.
You Must Have
- Experience in business, aviation, or operations management preferred.
- Open Availability & Flexibility to work any assigned shifts, including nights, weekends, holidays, and overtime.
- Reliable Transportation
- Aviation dispatch license or pilot's license preferred, with a minimum of one year of experience (five years preferred).
- Knowledge of FARs related to Part 91, 121, 125, or 135 airline operations preferred.
- Previous dispatch, EMS, or aviation experience is strongly preferred.
- Experience with FOS/NT or relevant scheduling and dispatching software.
- Ability to multi-task in a fast-paced environment and work from the corporate flight operations office as well as from home when necessary.
