Position Summary
The Database Administrator & Zoho Platform Specialist is responsible for the accuracy, integrity, security, and usability of TLCA’s association and member data. This role serves as the primary administrator and developer for TLCA’s Zoho ecosystem and plays a critical role in automating workflows, troubleshooting system issues, and supporting data-driven operations across the organization.
This is a hands-on, on-site position requiring close collaboration with Finance, Member Services, Compliance, ACC, and Operations.
Key Responsibilities
Data Administration & Governance
Maintain and safeguard member, property, assessment, compliance, and operational data
Enforce data standards, validation rules, and naming conventions
Perform data audits, deduplication, and reconciliation
Manage data imports, exports, and historical record maintenance
Control system access and data security based on roles and responsibilities
Zoho Platform Administration & Development
Administer and configure TLCA’s Zoho applications, including:
Zoho CRM, Zoho Books, Zoho Desk, Zoho Creator, Zoho Analytics, Zoho Flow, Zoho Forms
Build and maintain workflows, approval processes, automations, and custom functions
Troubleshoot platform errors, failed automations, sync issues, and user-reported problems
Manage user roles, permissions, and system settings
Coordinate testing and deployment of system enhancements
Systems Integration & Automation
Maintain integrations between Zoho applications and third-party systems (e.g., payment processors, communications tools)
Automate recurring operational processes such as:
Member onboarding and ownership changes
Annual assessments and billing workflows
Compliance tracking and escalations
Case and service request management
Monitor and resolve automation exceptions
Reporting & Analytics
Develop dashboards and reports for staff, leadership, and Board presentations
Support operational, compliance, and financial reporting needs
Assist Finance with reconciliations and data alignment between CRM and accounting systems
User Support & Documentation
Provide advanced support for Zoho and data-related issues
Train staff on system use, best practices, and new features
Maintain documentation, process maps, and user guides
Qualifications
Required:
Bachelor’s degree in Information Systems, Computer Science, Data Management, or equivalent experience
3+ years of experience in database, CRM, or application administration
Hands-on experience administering Zoho CRM and related Zoho applications
Strong understanding of relational data concepts and data governance
Strong troubleshooting and communication skills
Preferred:
Experience in a nonprofit, association, or membership-based organization
Zoho Deluge scripting and workflow automation experience
Experience with integrations, APIs, and third-party systems
Familiarity with accounting and assessment-based billing environments
