Job Purpose
The Project Operations Coordinator plays a key role in managing and supporting the administrative and operational activities associated with vendor and subcontractor bookings, onboarding, compliance, and reporting. This position is responsible for ensuring accurate intake and verification of bookings, processing documentation for vendors and subcontractors, supporting billing processes, and maintaining comprehensive reporting schedules. This position will interact with sales, subcontractors, vendors, and departmental leadership in a professional capacity.
Responsibilities
1. Complete booking intake verification and create projects for new bookings.
2. Create and process Vendor Statement of Works for subcontractors.
3. Manage new vendor onboarding processes, ensuring all documentation and systems requirements are met.
4. Process subcontractor agreements and maintain records in CBTS systems (including Letter of Agreement,
Rippling, and related platforms).
5. Handle all change orders, terminations, and annual renewals for subcontractors.
6. Support monthly pre-billing requirements, including time sheet reconciliation, completeness checks,
Salesforce submissions, compliance reporting, and follow-ups.
7. Prepare and deliver weekly, monthly, and quarterly operational reports as required.
Qualifications, Skills, Experience
1. Bachelor’s degree in Business Administration or related field.
2. 2-4 Years in Business Operations or Order to Cash Operations support roles.
3. Proficiency with business systems and platforms such as Microsoft Office and Salesforce.
4. Advanced Microsoft Excel skills including formulas and building reports and models
5. Strong analytical and problem-solving skills
6. Excellent English communication and interpersonal skills with ability to work collaboratively across
departments and with external partners.
