POSITION OVERVIEW
As the Administrative Assistant at Rookwood Properties, you will be the first point of contact for visitors and callers, representing the professionalism and warmth of our company. This role is vital in creating a welcoming environment at our corporate office while providing key administrative support to our team. The ideal candidate is organized, customer-service oriented, and able to manage multiple tasks with a positive attitude.
Flexible work hours are available to accommodate varying schedules.

Pay: $16.00 - $18.00 per hour
Expected hours: 30 per week

RESPONSIBILITIES
- Greet visitors, clients, and vendors with a friendly and professional demeanor.
- Maintain common areas, ensuring they are clean and presentable at all times.
- Answer and direct phone calls to the appropriate departments or individuals.
- Manage incoming and outgoing corporate-level mail and emails.
- Schedule and manage meetings, appointments, and conference room bookings.
- Perform administrative tasks such as filing, data entry, and handling correspondence.
- Draft and edit letters, reports, and other documents, ensuring accuracy in grammar, punctuation, and spelling.
- Coordinate office and kitchen supplies, including inventory management and ordering.
- Assist with event planning, including scheduling meetings, preparing materials, and coordinating logistics
- Provide general support to other departments as needed.
QUALIFICATIONS
- High school diploma or equivalent; additional education or training in office administration is a plus.
- Proven experience as a Receptionist, Administrative Assistant, or similar role.
- Knowledge of Property Management or Leasing is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) with the ability to learn new or updated software.
- Excellent communication and interpersonal skills, with strong proficiency in spelling, grammar, and punctuation.
- Able to operate standard office equipment including personal computer, scanner, printer, copier, and other equipment.
- Maintain a polished, professional appearance and a positive, approachable attitude.
- Ability to handle confidential information with discretion.
