Summary


The Franchise Administrator supports the Paralegal in the preparation, communication, and tracking of legal documentation to Franchisees, manages the Franchise record-keeping database (FranConnect) and collaborates with Accounting to ensure the collection of royalty and advertising payments. This position is integral to the team, emphasizing compliance with all laws, regulations, and company-specific requirements. The Franchise Administrator position reports to the Paralegal.


Essential Functions

  1. Efficient and organized management of franchise documents; such as development agreements, new franchise agreements, transfer agreements, and renewal documents.
  2. Ensures the accuracy of all information within the franchise records management database (FranConnect).
  3. Preparation of both domestic and international month-end store reports.
  4. Collaborates with Accounting to ensure the collection of royalty and advertising payments; Accurate and timely uploads of collection notices into FranConnect.
  5. Collection of Profit & Loss data to complete specific sections of the Franchise Disclosure Document annually.
  6. Send seasonal opening/closing, grand opening, transfer, and termination notices to the appropriate email distribution lists. Track changes as needed for the annual Franchise Disclosure Document.
  7. Ensure that Franchise Partners send annual insurance updates and upload new policy information into FranConnect.
  8. Initiate mystery shops as needed; Collect results and information and distributes to the appropriate parties.
  9. Manage the administration of the Steritech program, such as sending first and second notices.
  10. Send notifications of any changes in ad or royalty rates to Franchise Partners.
  11. Support Franchise Growth Leaders in Franchise Partner support.
  12. Maintain effective, professional working relationships with Franchise Partners, vendors, and co-workers.

Requirements


Physical Demands

This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a step ladder as necessary. Additionally, all corporate employees will be asked to work in the company-owned restaurants at least two times a year for shifts lasting 4-9 hours. Standing, cleaning and fast-paced mobility is expected during work in the restaurants.


Position Type and Expected Hours of Work

This is a full-time position, and A&W offers a hybrid schedule. Schedules will fall sometime between 7am and 7pm Monday-Friday, with rare weekend and evening events required. This position would be expected to report to our Lexington, KY headquarters. Schedules are subject to supervisor and/or Company approval.


Required Education and Experience

  1. 2 years of administrative experience
  2. Experience with document database management
  3. Excellent skill with MS Office Suite
  4. Experience proof-reading and/or detailed document review


Preferred Education and Experience

  1. Experience in the franchising industry heavily preferred
  2. Contract experience
  3. 5+ years of administrative support experience
  4. Bachelor's and/or Associates Degree
