Position Summary

Camelot Project Coordinators serve as the primary points of contact for Cameron Custom [a division of Camelot Homes] clients, acting as the liaison between clients and the appropriate departments, individuals, and consultants. Project Coordinators play a key role in delivering a best-in-class buyer experience, ensuring that all client needs and requests are effectively communicated and addressed – including providing regular updates and proactive follow-up with everyone involved in the project from inception to completion.

This position is primarily administrative with a significant focus on providing a luxury customer experience. Project Coordinators are responsible for maintaining an organized, centralized, time-sensitive job documentation and communication system that keeps all interested parties fully informed and aligned to ensure jobs are completed on-time, on-budget, and to the client and company’s satisfaction.

Essential Duties

The following are the essential duties of a Project Coordinator, as broken out by phase:

Sales

  • Manage contact information for sales leads and assist with scheduling appointments
    • This is not a sales role; there will be no cold-calling
  • Attend sales appointments and maintain case notes to support appropriate follow-up
  • Support the sales department by conducting select follow-up activities, as assigned
  • Oversee the preparation and execution of all client agreements through the life of the project

Design

  • Schedule and attend meetings with consultants (design to construction drawings)
  • Coordinate with architecture and design professionals to ensure client expectations are met while keeping the project on-track and on-budget

Pre-Construction

  • Input and maintain client information and project data through Camelot's operating system, Hyphen Homefront)
    • Maintain schedule updates until handed-off to the construction Site Manager
  • Track the status of permits with local government bodies to ensure compliance and timely approval (HOA through City Approved Plans)
  • Schedule pre-construction meetings with clients, sales, and construction
  • Coordinate hand-off from Design to Construction; including final coordination of any remaining selections
  • Create project binder for construction Site Managers and clients; keep current for the life of the project
  • Assist Purchasing team with bidding process and tracking trade agreements

Construction

  • Conduct regular site visits to monitor progress and ensure all interests are being best met
  • Send weekly project update emails to clients with photos
  • Create, review and post project-related purchase orders
  • Assist with invoice approval and tracking job costs
  • Manage change orders and addendums

Post Construction

  • Prepare and participate in Job Autopsy to facilitate continuous improvement

General

  • Maintain comprehensive project documentation, including contracts, change orders, project timelines, and correspondence with all stakeholders
  • Collect and process deposits; accurately track financial transactions through the life of the project
  • Release, gather, analyze, and report on client satisfaction surveys conducted at various project milestones

Qualifications

  • 3-5 years of construction project coordinator experience is required; preferably in custom residential
  • Must be highly proficient with spreadsheets, MS Office, Outlook, and various standard internet applications
    1. Familiarity with Microsoft Project is ideal but not required
    2. Familiarity with construction planning systems is highly preferred; Camelot Homes currently uses Hyphen Homefront (including SupplyPro and BuildPro)
  • Must be a positive and engaging self-starter with a ‘can-do attitude who adapts well to feedback and finds satisfaction in problem solving
  • Present a professional appearance and demeanor with excellent emotional intelligence and interpersonal skills; genuinely friendly and approachable
  • Highly organized, focused, persistent and scrupulous about accuracy and detail
  • Able to independently prioritize tasks and committed to on-time completion of work
  • Remain calm and consistently use good judgment in emotionally elevating situations
  • Exercise excellent judgment and discretion when communicating sensitive information
  • Prioritize and multi-task in a fast-paced environment with frequent interruptions
  • Excellent verbal and written communication skills
  • Proficient with basic to intermediary mathematical calculations to accurately track costs and meet budgetary guidelines
