POSITION SUMMARY
The Cincinnati Art Museum has an immediate opening for a temporary Registrar Consultant in the museum’s Registration department. This is a full-time position for a period of 3 months and will focus on permanent collection registration duties. May be extended if necessary.
The Registrar Consultant assists the Registration department in all aspects of collection management. In addition, the Registrar Consultant is responsible for any other registrarial duties as assigned by the Director of Collections and Exhibitions.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Permanent Collection:
- Makes shipping arrangements for new acquisitions. Organizes deaccessioned material for shipping and consignment.
- Works with Assistant Registrar for Permanent Collection and the Digital Committee on database conversion from Vernon to TMS collection management system and online collection catalogue
- Works with Assistant Registrar to ensure compliance with NAGPRA
- Processes temporarily receipted objects, including assigning/recording numbers, tagging, creating curatorial files, issuing changes of location, distributing receipts and entering original record into collections management system
- Coordinates movement of artwork to and from monthly Collections Committee meetings
- Organizes and supervises museum-wide inventories. Applies numbers to objects in storage
- Oversees collection storage areas and supervises access to same
- Works with curators to find permanent storage locations for objects. Participates in storage/gallery cleaning and maintenance
- Assists with local artwork pickups and returns
Loans and Temporary Exhibitions, As Needed:
- Processes receipts and other paperwork relating to loans and temporary exhibitions
- Assists with condition reporting objects
- Supervises unpacking and packing of objects in temporary exhibitions
Office Administration:
- Tracks departmental budget, ordering supplies, and processing invoices
- Supervises volunteers and interns in data entry projects, and annotating publications
- Responds to requests for information about the permanent collection from the public
- Assists with special projects: art storage rehousing projects, etc.
- Assists in performing routine office and clerical tasks including answering telephones and emails, filing, and photocopying
- Other duties as assigned

MINIMUM REQUIREMENTS
- Bachelor of arts degree (master’s degree preferred) in Art History or related field required, with 3-5 years’ experience preferred in Registration.
- Must be detail-oriented and be able to work with sensitive and confidential material.
- Candidate must possess excellent typing and word processing (both numerical and alphabetical) data entry skills.
- Must have experience with collections management systems, Teams, Zoom, Microsoft Word and Excel, as well as willingness to learn and use computer applications as needed to perform office tasks.
- Must possess excellent written and oral communication skills; ability to present information effectively and respond to questions from Art Museum staff, members, and the general public.
